Processing of your personal data

Under GDPR we comply with law in the control any personal information about you electronically using the following:

Lawful basis: Consent.  Within consent we use a cookies banner that the user can “accept all” or “manage cookies”.  Our website provider, Squarespace does use cookies to help our website run effectively and provide the user with the best experience.  It also uses some analytics and performance cookies to identify how users interact with the site, i.e. for our marketing purposes.  By selecting “Accept all” the user gives consent for cookies to be used.  Aforementioned, the cookies settings can be managed by the user to a degree by selecting “manage cookies”.  Some cookies are essential to use of the website by the user (detailed as “necessary” when the “manage cookies” option is selected by the user).   

Storing your information: For invoicing purposes we will contact the user/customer to gather the following information: Personal name or business/organisation name, personal address or business/organisation registered address and an email address that the invoice can be sent to.  Much of this data is readily available to the public, especially for businesses, on the government website and business websites through simple search engine searches.   These pieces of information are stored on our accounting system that is part of the IRIS Software Group, whom are GDPR compliant and have their own data security systems.  By sharing this data with us the user gives consent for this data to be securely stored on the aforementioned software.

Sharing your information: We may need to share the users information with a third party is when the user pays by card. We use the payment service to do this.  They have their own privacy policy that covers the sharing of the user’s information, and this can be found on their website.  They also have stringent data security If at all possible we use a feature of this payment service that requires us only to take the users phone number and email address; the user fills all other details in and these details are not held or saved.   If you would like more information on our card payment service provider please contact us directly via telephone.  If this method isn’t possible and further details need to be taken, we will seek verbal consent from the user to take such information (over the phone or face to face), and will not use or share this information in any way or with anyone.  The user’s sensitive data is not stored on the third parties website or anywhere else.  The only other time that the users’ information may be shared with third parties will be with debt collection agencies.  However, the user/client will have been given written notice of this (via email), and this is only used as a last resort.
